About Crimson Coast Dance Society: Mission & Mandate
Crimson Coast Dance Society is a non-profit Society that develops and supports contemporary dance creations, productions, performances, and educational opportunities at both grass roots and professional levels, in Central Vancouver Island, on Snuneymuxw Territory, with gratitude. The organization has an active Board of Directors, committed public sector support, and an office at the Centre for the Arts in downtown Nanaimo.
About the Position
The Office Administrator reports to the Artistic Managing Director (AMD) and the Board to maintain core Society functions, and advance the Society in meeting its Mission and Mandate.

Tasks and Responsibilities
- Prepare accurate and timely documents, spreadsheets and reports to support the
daily operations and communications, of the Society’s operations using a variety
of software applications. - Assist in budget development, ensuring monitoring and maintenance of grant, project, and operating budgets.
- Support funding applications and prepare grant reports to funding agencies.
- Monitor and maintain fundraising records and statistics.
- Administer the legal obligations of the society – report filing, insurance (board, office, and programming), non-profit procedures and office operations (rental agreements, invoices)
- Create and maintain an active stewardship plan for donors, funders, patrons
- Co-ordinate box office, staff and volunteers for annual and special programmed events, including fundraising events
- Coordinate meetings ensuring well-defined and timely agendas, identification of and notification to interested parties, compilation of background information and supporting materials and preparation of packages/summary documents to assist in decision making and meeting facilitation. Make catering, travel and accommodation arrangements. Attend meetings as required.
- Participate in the development and maintenance of administrative policies and help to ensure all staff and volunteers are aware of and adhere to policies and procedures.
- Maintain filing systems for a variety of records including Society report filings, insurance, procedures and office operations in a way that can be easily accessible to designated staff, volunteers and the Board.
- Support financial processing, including tracking accounts payable and accounts receivable transactions.
- Actively work to maintain a positive, healthy and safe work environment.
Qualifications
- Post-Secondary education from a recognized post-secondary administrative
assistant program, with training in word processing, spreadsheet and database
applications - 3+ years’ experience as an administrative assistant
- Experience in the non-profit and/or performing arts sector, including an
understanding of the granting process - Ability to work independently as well as in teams, and the capacity to work
effectively and efficiently in a complex, fast-paced, and changing environment
with numerous deadlines and priorities - Demonstrated ability to use digital business technology systems like word, excel,
and database systems, at an advanced level. - Proficiency with Microsoft 365, Simply Accounting and communication systems
like MailChimp. - Ability to communicate effectively both verbally and in writing, including the ability to respond professionally, courteously, and in a clear manner
- Demonstrated interpersonal and time management skills
- Valid Class 5 Driver’s license
- Vulnerable Sector Record Check is required
- Some evening/weekend work required during programs and special events
